Terms of Service

These Terms of Service (the "Terms") are a contract between you and ChefOS ("ChefOS", "we", "us"), the operator of the ChefOS kitchen operations service at chefrys.com (the "Service"). By creating an account, starting a trial, or using the Service you agree to these Terms. If you are using the Service on behalf of a restaurant, catering company or other business, you confirm that you are authorised to bind that business, and "you" means that business.

1. What the Service is
ChefOS reads the documents you send it — supplier invoices and price lists, recipes, inventory count sheets, point-of-sale exports, event sheets, recipe links from social media and the web, and email forwarded to your private ChefOS address — and turns them into a connected record of your kitchen: ingredients, recipes, prices, plate costs, stock, orders, prep lists, allergen information, sales and variance reports. It also answers questions about that record. The Service is a tool for professional kitchens and is intended for business use by people aged 18 or over.
2. Your account
- You are responsible for the accuracy of what you send us and for keeping your password and phone sign-in links private. Anyone who signs in with your credentials or scans your sign-in code is acting as you.
- One account is one kitchen (workspace). The Group plan is for several kitchens run by one business; we link the additional kitchens to it with you.
- Tell us promptly at the contact details above if you believe your account has been used without your permission.
3. AI reading, costing and reports — what you must check
ChefOS uses artificial-intelligence models to read your documents and answer questions. Reading is presented to you as a review card before anything is saved; you are responsible for checking quantities, units, prices and other figures on that card and correcting them. Costs, food-cost percentages, stock values, variance, menu-engineering and every other report are computed from the data in your account and are only as accurate as that data.
Allergens. Allergen information in ChefOS is derived from the ingredients recorded in your recipes at the time it is displayed or printed. It does not know about cross-contact, substitutions your staff make, or ingredients that were not recorded. It is decision support for trained kitchen staff, not a guarantee, and it does not replace your own allergen controls, supplier specifications or legal obligations to guests. Reprint allergen matrices after any recipe change.
Answers and images. Answers from the assistant and generated images (for example buffet station maps) can contain mistakes. Check them before you act on them, and check every label before you print a map for service.
4. Plans, credits and fair use
- Plans, prices and the monthly credit allowance for each plan are shown at chefrys.com/pricing and inside the Service under Plan & billing. Prices are in United States dollars and exclude taxes; where we are required to collect sales tax, it is added at checkout.
- A credit is consumed by AI-backed actions: one credit for each document send, recipe captured from a link or email processed; half a credit for a question or a substitution (one credit for a question that searches the web or runs long); two credits for a generated buffet map or for a document over 300 rows; half a credit for each generated dish photo. Counting, lists and reports do not consume credits. The current rates are always shown under Plan & billing.
- Your plan's allowance is added to your balance each billing month. Unused credits roll over and top-up credits do not expire while your account exists. Credits have no cash value, cannot be transferred, and are not refunded except as set out in the Refund & Cancellation Policy.
- Each plan includes a fair-use limit on AI actions per day. We may throttle, suspend or terminate accounts that abuse the Service, attempt to circumvent limits, upload unlawful content, or use it to attack other systems.
5. Free trial
New kitchens receive a 14-day trial with a starting balance of credits and no card required. When the trial ends without a plan, AI actions stop; your data stays and counting, lists and reports keep working while you decide. We may change or withdraw the trial offer for new sign-ups at any time.
6. Billing, renewal and cancellation
- Subscriptions are billed in advance, monthly or annually, through our payment processor Stripe. We never see or store your card number.
- Subscriptions renew automatically at the end of each billing period at the then-current price for your plan until you cancel. Founding-kitchen pricing is locked for the period stated when you accepted it.
- You can cancel at any time from Plan & billing. Cancellation takes effect at the end of the paid period; you keep access until then. Refunds are governed by the Refund & Cancellation Policy.
- If a payment fails we will retry it and tell you inside the Service. If it remains unpaid we may pause AI actions and, after 30 days, end the subscription.
7. Your data and our software
- You own your kitchen's data — the documents you upload, the records built from them, your recipes and reports. You grant us the licence needed to store, process and display that data to provide the Service, including sending it to the AI and email providers named in our Privacy Policy.
- You can export your recipes, suppliers, counts and other records as CSV at any time from inside the Service.
- We own the Service, its software, design and content. You may not copy, resell, reverse-engineer or build a competing product from it, or scrape it.
- Only send us content you have the right to use. Recipes captured from public social-media posts and web pages are stored for your kitchen's own use.
8. Availability and changes
We work to keep the Service available and improve it continuously, and we may add, change or remove features. We do not promise uninterrupted or error-free operation. Third-party services we depend on (hosting, AI models, payments, email delivery, social platforms) can fail or change outside our control.
9. Termination
You may close your account at any time by contacting us; we delete your data as described in the Privacy Policy. We may suspend or terminate your account for breach of these Terms, non-payment, or where required by law, with notice where reasonably possible. Sections 3, 7, 10 and 11 survive termination.
10. Disclaimers and limitation of liability
The Service is provided "as is" and "as available". To the fullest extent permitted by law, we disclaim all warranties, express or implied, including fitness for a particular purpose. We are not liable for indirect, incidental, special or consequential damages, or for lost profits, revenue, food, stock or goodwill, arising from your use of the Service — including decisions you make based on costs, reports, answers, images or allergen information it shows. Our total liability for all claims in any 12-month period is limited to the fees you paid us in that period. Nothing in these Terms limits liability that cannot be limited under applicable law.
11. Indemnity
You will defend and indemnify us against claims arising from your breach of these Terms, your content, or your use of the Service in violation of law or third-party rights.
12. General
- These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable there. Courts located in Ontario have exclusive jurisdiction, and you consent to that jurisdiction.
- We may update these Terms. Material changes are announced inside the Service or by email at least 14 days before they take effect; continuing to use the Service after that date is acceptance.
- If any part of these Terms is unenforceable, the rest remains in effect. These Terms, the Privacy Policy and the Refund & Cancellation Policy are the whole agreement between us about the Service.
Privacy Policy

This policy explains what ChefOS ("we", "us") collects when you visit chefrys.com or use the ChefOS service, what we do with it, who else sees it, and the choices you have. We are located in Ontario, Canada, and handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Most of the data in ChefOS is business data about your kitchen; where it includes personal information (for example your name and email, or a supplier representative's name on an invoice) this policy applies to it.

We do not run advertising trackers or third-party analytics on chefrys.com or in the Service.
2. How we use it
- To run the Service: reading your documents, building your kitchen's records, computing costs and reports, answering your questions, generating images you ask for, and delivering your email-in messages.
- To bill you, tell you about your trial, plan, credits and payments, and respond to support requests.
- To protect the Service and its users: rate limiting, abuse detection, security investigations.
- To improve ChefOS. We look at how features are used and at problems that occur. We do not use your kitchen data to train AI models, and we do not sell personal information.
3. AI processing
ChefOS sends the content you ask it to read or answer to AI providers over encrypted connections: Anthropic (document reading, questions, substitutions, layout reading) and OpenAI (transcribing the audio of recipe videos you share, and generating buffet-map images). They process that content to return a result to us and, under the API terms we use them on, do not use it to train their models. We send only what the action needs — the document, the relevant records from your kitchen, your question.

Your data is stored and processed in the United States. Our own staff access your kitchen's data only to provide support you have asked for, to investigate abuse or security problems, or where the law requires it. We disclose data to authorities only where legally compelled, and we will tell you unless we are prohibited from doing so.
5. Cookies and on-device storage
- One session cookie (
chefos) keeps you signed in for up to 30 days. It is signed, marked HttpOnly and sent only over HTTPS.
- The phone count and grocery-list pages keep unsaved drafts in your phone's browser storage so a dropped connection never loses a count. The desktop app remembers small preferences (such as the open tab) the same way. Nothing in that storage leaves your device except when you save.
6. Security
Connections use HTTPS. Passwords are stored as salted PBKDF2 hashes. Each kitchen's data lives in its own isolated workspace; sign-in attempts and AI actions are rate-limited; phone sign-in links expire after ten minutes and work once. No system is perfectly secure — please use a strong, unique password and tell us right away if you suspect a problem.
7. Retention and deletion
- Your kitchen's data is kept for as long as your account exists so that history (counts, purchases, sales, price changes) stays useful to you.
- You can export your records as CSV at any time from inside the Service.
- Ask us to close your account and we delete your workspace, files and account record from our live systems within 30 days. Billing records are kept for as long as tax and accounting law requires.
- "Talk to us" messages are kept until we have answered them and for a reasonable time afterwards.
8. Your rights
You can ask us what personal information we hold about you, ask us to correct it, withdraw consent (which may mean we can no longer provide the Service), or complain about how we handle it. Contact us at the details above; we answer within 30 days. You may also complain to the Office of the Privacy Commissioner of Canada. If you are in another jurisdiction whose law gives you additional rights, we will honour them.
9. Children
The Service is for businesses and adults. We do not knowingly collect information from anyone under 18.
10. Changes
We will post updates to this policy here with a new effective date and, for material changes, tell you inside the Service or by email.
Refund & Cancellation Policy

Plain rules for the money side of ChefOS. Prices are in US dollars, charged by our payment processor Stripe. These rules form part of our Terms of Service.

1. The free trial costs nothing
Every new kitchen gets 14 days and a starting balance of credits with no card on file. Nothing is charged unless you choose a plan.
2. Cancel any time
- Cancel from Plan & billing in the sidebar (it opens the Stripe portal) or by contacting us.
- Cancellation takes effect at the end of the billing period you have already paid for. You keep full access until then, and nothing further is charged.
- Your data stays after cancellation so you can export it or come back; ask us if you want it deleted.
3. Monthly plans
Monthly fees are not refunded for partial months. If you cancel on day 10 of a month, you keep access to the end of that month and are not charged again.
4. Annual plans
- If you cancel within 14 days of your first annual payment, we refund it in full on request.
- After 14 days, annual fees are not refunded. You can still cancel so the plan does not renew, and you keep access to the end of the year you paid for.
- Annual renewals: contact us within 14 days of a renewal charge you did not intend and we will refund it and set the plan not to renew.
5. Credit top-up packs
A top-up pack is refundable within 14 days of purchase as long as none of its credits have been used. Once credits from a pack have been spent, the pack is not refundable. Plan allowances and top-up credits have no cash value and are not paid out.
6. Mistaken or duplicate charges
If you were charged twice, charged after cancelling, or charged an amount that does not match your plan, tell us and we will refund the difference in full.
7. Changing plans
Upgrades take effect immediately and are prorated by Stripe for the rest of the current period. Downgrades take effect at the next renewal. Switching between monthly and annual billing happens at the next renewal.
8. How refunds are paid
Refunds go back to the original payment method through Stripe and usually appear within 5–10 business days depending on your bank. We do not refund to a different card or in cash.
